Grow Your Childcare Business Online Using Email Workflows

Are you a childcare business owner who’s looking for ways to manage your childcare business online? 

In today’s training, I’m going to clue you in on exactly what to do. 

The first system that I want for you to begin to use as a moneymaker is the email marketing systems.

In 2010, I remember creating an email and sending it out to parents, to invite them to an open house to encourage my potential parents that we were extremely excited about our licensing and opening the most premier childcare program of this type in the city. Much to my surprise, this email generated so much interest that 40 people showed up at my open house. The Power Of Email Marketing 

Meanwhile, I want to talk to you about the power of email marketing. Email marketing is a tool that childcare business owners can use to accomplish so much more. If you’re interested in using email, here are a few email providers that you want to consider:

MailChimp

ActiveCampaign 

and

Constant Contact.

I’ve had experiences with two of the three.  There are other programs that are a bit more complicated; some of those other complicated systems are Infusionsoft by Keap and HubSpot.

 But I do recommend that you do your research and select an email provider based on your ease of use and on the skill set of your team that will keep this system moving forward for you. 

After you’ve selected one of these email providers, move on to step two. 

Step Two – Now it’s time to plan out your online registration workflow. Your Online Registration workflow for new enrollments and for nurturing are two different processes. 

The online registration process includes the following:

  1. The first step that you want when a person logs on to your website and signs into your email provider. If you want for that person to receive the first step which is the welcome email offering registration.

2. The next workflow that you want for that individual to receive is access to booking your event or calendar or for them to vote to come to your facility to tour your site.

3. The next step is where you send their information to your text service. Texting services such as easy texting can be integrated into your website where your sign up link request for the phone number. And that phone number can be automated and sent to easy text through integration.

4. The next process that happens through your email system would be a follow up email that lets the user know that you received their email especially that you received their booking and here is a confirmation.

5. After the person receives the confirmation, you then set up two reminders to go out to remind the individual about their appointment with you. After their appointment, there are two options to consider. 

The first option is did they show up for the appointment? If so, send them a ‘Thank you for coming’ email which includes a link to make a purchase or to seal the deal on their decision.

Or option two, if they did not show up, you would send an email for no no shows that includes an option for them to take a virtual tour of your facility. And also use a coupon to save by taking action within a timeframe. 

Now that you have sent out those emails through automation that would end your registration sequence.

The second strategy would be what we call an email marketing nurturing workflow. Now that that individual has opted in to your email system and has chosen to either arrow or they have not made the decision both of these categories require a nurturing campaign. Your nurturing campaign should be a strategy that happens in your business every 30 days. 

Now, this strategy does not include sending out emails every day for 30 days. But it does include where you set up no less than seven emails to be sent over a 30 day period of time. 

What’s the magic behind the number seven in emails? Well, statistically, it has been proven that an individual needs at least ‘7 touches’ with your organization to consider your childcare business as a potential place to do business. You want to create this nurturing strategy and duplicate it with new content every 30 days. 

I find this process fun. I find it exciting and it keeps me top of mind of my readers. Reader is the term for individuals who open your emails and engage with your email process.
