WHAT SYSTEMS DO YOU NEED IN YOUR CHILDCARE?

I’m going to share with you some systems that you must put in place in order for you to manage your childcare business in a digital way.
Before you want to start investing in all of these different processes and all of these different systems, there are a few things that I suggest that you do.
Before you invest in all of these childcare CRMs, operating systems, and childcare platforms save yourself some time, money, and energy by doing these three steps first.
So when I started working with one of my clients, I realized that she was moving before really being ready to move in the direction she was moving in. And so with that being said, these are the three things that I told her to do, which made it easier for her to shift. But let me give you a little bit about her profile because maybe you can identify with her profile.
Number one, Amara had started in childcare with a love for caring for children, just like me, and then she began to grow. She grew so much that she ended up taking care of over 200 children per day. And I think that’s really big, because to start from zero, from scratch, and to build to that level, I mean, that is noteworthy.
So when she built to that level, she really didn’t have all of her systems written down. I mean, she had some processes in place where she could have an assistant, and then she ran a site, and her assistant ran a site, but she was either at one of the locations or at both of the locations, she just never really got to the place where she operated like a CEO.
Well, she found me and decided, “Coach, I just want to understand how to better lead my center directors, and I just want to just improve my systems and just make sure they’re streamlined.”
And I said, “Okay, I can help you.”
But when she came to me, there were a few things that were out of place which impacted her from being able to streamline.
And so to scale doesn’t mean that she opened up multiple locations, but that she was able to take the framework, teach it to somebody, and then that person was able to teach it to the next person. That’s what you call scale, especially in childcare.

So then I said, “Now, let’s go through what we call your Task Management List. You all should write that down.” When we went through the task management list, I realized that she had not built out her task to manage her operations. And when you don’t build out your task to manage your operations, that means one or two things.

And then we also went into this next phase, which was the task management list. So we started going through that process of creating an all-in-one system for her to determine what systems it took to operate her location or her multiple locations. Then we went through the systems that it takes to operate, and we began to delegate which task would fit under the roles in her organization. And we determined that there were some tasks that weren’t sufficient, or there were some tasks that were missing. So we cleaned that up.
And then once we did, the company hierarchy, the task management list.
#3 The next step for Amara was to improve her job descriptions. We needed to improve her job descriptions, because, like many of you, you go online and you look for job descriptions that fit whatever role is that you are hiring for. But it’s a lot of jargon, and it’s not clear what that person will really be doing in your company. And so Amara did that. And I went back to her job description. I said, “Amara, this does not look like your company. It does not match your company.”
And so what I suggested that she do was to come to a VIP experience where I broke down her operations. I broke down her task management list, and then I broke down the job description to match the task, to match the role, to match the vision of her program.
Now one of the things that I do is I know where to start a person. I know that you need to start with your foundation system.
