For today’s proven management solution, I want to talk to childcare business owners about streamlining their childcare center processes. If this sounds like something you’re interested in, be sure to read this blog.
I want to make sure that you walk away understanding the power of streamlining your operations.
This will take you out of the micromanagement mindset into the big business mindset. Do you know the top 1% of childcare businesses that have 10-20 childcare locations operate very well because they have a few processes in place that so many of you overlook?
#1 The first one is they understand the power of a company hierarchy.
Their company hierarchy reaches well beyond a center director.
They have
1. Regional directors
2. Operational directors
3. Human Resource Department
4. Marketing department
5. Enrollment department
And More!
The reason why they have these departments is because your systems must evolve.

Ask Yourself This Question:
Why would a company at ten locations have someone covering enrollment? Well, why would a company at three locations have someone covering the enrollment?
That organization is streamlining.
When you have a standardized way of enrollment, operating your classrooms, or doing something the same way each time, you have to level up your company hierarchy to support the framework.
Let me give you an example, I was working with my client. She has multiple locations, and her company hierarchy has begun to shift where she’s adding on the operations manager and an enrollment specialist.
See, when she first started, she could run her operations. She could train her front desk and her admin team for enrollment because she was present. But now that she’s grown to multiple locations, she created a standard for how the enrollment process should go. She created the standard for how her operations should be managed.
Now that she has multiple locations, she streamlined all of the tasks for operations to her operations director. She streamlined all of the enrollment processes to the person who’s responsible for enrollment only.
So that person goes through the process of enrollment for all of the locations, and the key to that person going through the process for all of the locations is that the CEO worked with me to break down the process.
Do you know how many steps there are in the enrollment process?
Typically, most owners stop at two steps. The tour and the enrollment paperwork.
But there are 7 steps to the enrollment process. Once I taught my client those 7 steps, then she began to see how important it is to have a daily non-negotiable task list for her enrollment team.
This person in enrollment can handle all of the
1. Inquiries
2. Scheduling out the tours
3. Follow-Ups
4. Ensure that the registration paperwork has been provided to the parent
5. Handle the follow-up process
6. Handle retaining new clients
7. Manage the waitlist
8. Referral process.
Unlike many of you, you all may have your director doing the enrollment and this impacts productivity because that is going to cause overwhelm, and micromanagement, and typically nothing is really streamlined.
So let’s begin with your company hierarchy. And let’s determine how big you want your company and the roles that it will take to support the size of your organization. Now, if you’ve never done this process before, it’s because you’re missing systems.
