WHAT SYSTEMS DO YOU NEED IN YOUR CHILDCARE?

Managing Childcare Directors and Yourself

If you’re running multiple childcare locations or managing an administrative team, you already know how overwhelming it can feel to keep everything running smoothly. In today’s blog, I’m going to share my personal journey—how I went from struggling with communication breakdowns and missed details, to creating a proven task management system that keeps my team accountable and my centers consistent.

My Journey: From Classroom Focus to CEO Leadership

When I first started managing my childcare business, my focus was on the classroom. I had no idea how to properly lead a team of directors, front desk staff, and admin personnel. Once I removed myself from the day-to-day classroom operations, I realized something: without systems, I was missing critical conversations and key details.

  • Sometimes I didn’t know a child had been enrolled.
  • Other times staff were on the clock later than they should have been.
  • Small preventable issues piled up because I had no structured way to track them.

That’s when it hit me: if I wanted my business to grow—and if I wanted my admin team to succeed—I needed tools and systems to guide both myself and my team.

Tool #1: The Management Planning Outline

The first breakthrough came when I created my Management Planning Outline. This tool gave me structure for my leadership meetings.

Why did I need it? Well, working alongside my husband in the business blurred the lines between personal and professional conversations. We’d jump from childcare topics to household issues in the same breath. Not only was this frustrating, it created confusion and inconsistency in how we ran the business.

By implementing the Management Planning Outline, I finally had a framework for my meetings. This allowed me to:

✅ Separate personal life from business operations
✅ Lead with clarity and consistency
✅ Ensure my directors knew exactly what was expected

This system became the foundation of what is now the Jumpstart Daily Business Booster Kit, available at ChildcareBossShop.com.

Tool #2: The Admin Notepad

As my team grew, I realized they also needed a tool to stay on track. That’s when I developed my Admin Notepad.

Here’s how it works:

  • Each week, I assign my admin team their top three tasks.
  • I break down daily expectations (Monday through Friday) so they know exactly what to do and when.
  • They record notes, track progress, and return the completed sheet (or digital version) for accountability.

This simple notepad eliminated confusion, prevented overwhelm, and gave both me and my team a rhythm and flow to follow. And yes—I even used it for myself to stay aligned with my own goals!

Tool #3: The Jumpstart Daily Business Booster

Finally, I created my signature product: the Jumpstart Daily Business Booster.

This isn’t just any planner—it’s a success system designed specifically for childcare CEOs. It helps you:

  • Plan up to four consecutive weeks at a time
  • Track enrollments, finances, and marketing campaigns
  • Manage staff responsibilities and classroom goals
  • Implement segment marketing strategies when you need to fill specific slots (like infants or toddlers)
  • Stay grounded with personal growth tools such as morning/evening routines and mindset clarity sheets

It’s the only planner of its kind in the world, tailored for childcare leaders managing multiple sites.

Why These Tools Matter

Running a childcare business is no small task—especially when you oversee multiple locations. What I’ve learned is this:

What is written is what matters.
If you don’t have your systems written down and supported by tools, things will fall through the cracks.

Systems create freedom.
Instead of micromanaging, you can delegate with confidence knowing your team has the structure to succeed.

Tools empower your team.
When your directors and admin staff have clear expectations, they become more productive and accountable.
