How to Implement Growth Systems in Your Childcare Business

Today’s strategies will be drawn from our powerful Jumpstart School Of Systems Strategy, and we will begin with step one: Creating a Framework. A framework is a systematic approach to implementing systems in your business to achieve the desired outcome. Many childcare business owners struggle with consistently implementing systems in their businesses, but today, I will show you how to overcome this challenge.

Step 1: The Importance of a Framework

I do not recommend that you stay in this phase longer than 10 weeks. If you find yourself stuck here, you may need additional coaching to gain the guidance, wisdom, and knowledge required to fully implement your framework. This step is CEO-level work—your framework is not something your team should implement for you. Instead, you must develop and refine it so that you can empower your team to execute your processes effectively.

The first essential system in your framework is the Foundation System, which consists of several key areas. Let’s explore them one by one:

CEO Tasks and Responsibilities – As the CEO, you must establish a foundation for how you will manage and oversee your company.

Classrooms – The classroom is essential to every process and standard in your business. Who you hire, how you manage, and your net profits all stem from your classroom operations.

Administration – This includes your office staff, program directors, and hiring team. Your administrative team must have structured processes in place to ensure smooth operations.

Leadership Program – Your leadership system should align with CEO tasks, classroom responsibilities, and office management. Future leaders in your program should be trained in these areas.

Employment Systems – Understanding your employment needs will help you tie your hiring processes to the most important departments that manage operations.

Marketing Systems – Effective marketing ensures happy families, creates strong net profits, and helps you retain qualified team members.

Kitchen and Food Program – While they seem similar, the kitchen (physical operations) and food program (administration, reimbursements, and staffing) are distinct and require separate systems.

Transportation – If applicable, a strong transportation system can create additional revenue streams for your business.
Scalability – Finally, every system must be designed with scalability in mind so that your business can grow effectively.

Step 2: The Creation Phase

Once you have planned your foundation systems, it’s time to Create. This involves turning your written processes into tangible, trainable, and repeatable systems.

1. Develop a Training Framework

A training framework ensures that every topic follows a structured flow. For example, one of my clients, Dee Dee, needed a clearer way to train her team. We developed a system where her center director underwent:

  • One-on-one training
  • Classroom application training
  • A scavenger hunt
  • A survey and test to demonstrate their understanding

By implementing this structured approach, she ensured consistency across all training sessions.

2. Use Visual Aids and Documentation

Capture images and videos of how things should look when set up according to your standard. For example, when I visited Dollar General, I noticed a tear sheet hanging from a shelf displaying:

  • The shelf number
  • Digital images of where each cleaning product should be placed
  • The exact quantity required

This method ensures accuracy, consistency, and efficiency. Implementing similar visual documentation in your childcare business can help team members execute processes correctly and reduce confusion.
